Don’t Want to Sound Harsh? All Ears English

Warm-up
- Have you ever said something in English and realized it sounded more direct than you intended?
- Is being direct always rude?
- How would you politely tell a friend that their comment sounded rude?
- What do you think soften the blow means?
Listening Challenge
- Why does one speaker mention speaking Spanish or French?
- What problem is the listener trying to solve?
- What does “soften the blow” mean in this conversation?
- Do the speakers believe “No offense” is always polite?
- Which expression does one speaker consider especially polite?
- Why can too much softening language become a problem?
The Main Idea
Challenge:
Part 1 — When English sounds too harsh
Michelle: Hey Michelle, how are you today?
Speaker: Hi, I’m good. How are you?
Michelle: Excellent. I have a question for you. I know you’re not a person who is normally harsh or blunt, but have you ever said something and immediately thought, “Oh, that sounded way too harsh.”
Speaker: Oh, yeah. Of course, it definitely happens. There are definitely times where you say something and you’re like, “Oh God, I hope that they didn’t take that the wrong way.”
When this happens to me the most is in Spanish or French because in English, in your first language, you know a little better how to soften things and all of the words to cushion everything with.
But when you’re learning a language, sometimes all you know is the direct version.
For example, we were in Mexico and there was a World Cup game and I wanted to ask them to turn the TV on. All I knew how to say was, “Turn the TV on, please.” That probably sounds blunt.
Michelle: Right. Yeah. I think in English we soften things quite a bit.
So we’re going to be talking about that today. We are answering a question from a listener: “Is there a phrase I can say before something that might be taken as harsh or blunt to soften the blow?”
Part 2 — What does “soften the blow” mean?
Speaker: What does it mean to soften the blow?
Michelle: Anything that makes it not feel so direct or blunt or harsh.
If you were to literally soften a blow, that would mean if you’re punching something and you don’t hit quite as hard.
We also use this idiomatically and metaphorically with language. Something might come across as really harsh or strong, so we’ll soften it by using language and phrases that make it less direct.
Part 3 — No offense, but…
Michelle: The first one is to say, “No offense.”
We use it when we want the other person to know we’re not trying to offend them with our comment.
No offense, but I found that presentation a little confusing.
No offense, but that comment seemed a bit out of pocket.
But sometimes when we say “No offense,” it is offensive. Sometimes “No offense” itself sounds a little harsh.
It’s better to just not say something offensive than to say something offensive and then say “No offense.”
If you have to say “No offense” before something, maybe consider why you’re saying it in the first place.
But delivery matters too. If something might come across as harsh, mean, or intense but you really don’t intend that, you might soften it with this.
No offense, but that outfit might not be appropriate for the event.
No offense, but I don’t think that plan will work.
No offense, but…
Part 4 — Please don’t take offense to this, but…
Please don’t take offense to this, but your message came off a bit rude.
This is softening it even more because “No offense” can still feel pretty blunt.
If you say, “No offense, but your message came off a bit rude,” it can almost sound a little more argumentative.
Part 5 — I don’t mean anything by this, but…
I don’t mean anything by this, but you seemed a little angry when you were talking earlier.
This phrase tries to keep the conversation light.
I don’t mean anything by this, but that joke didn’t really land.
But sometimes we do need to be blunt. It depends on the situation, who you’re talking to, and how strong you want to sound.
Part 6 — Please don’t take this the wrong way, but…
Please don’t take this the wrong way, but I think you could be more organized.
Please don’t take this the wrong way, but your tone sounded a bit too serious.
This is useful when you’re giving feedback or correcting someone’s behavior.
You’re not backing off from what you said. You’re just making it clear that your intention isn’t to anger or offend the other person.
Part 7 — For the record, I’m not upset, but…
For the record, I’m not upset, but I wish you had told me earlier.
If you just say, “I wish you had told me earlier,” the other person might assume you’re upset.
For the record, I’m not upset, but that caught me off guard.
Everything’s fine, but that caught me off guard.
Part 8 — Role-play
A: Hey, I noticed something a little earlier. Please don’t take this the wrong way, but I think you cut Sarah off a couple times.
B: Oh wow. Really? I didn’t notice.
A: Yeah. And no offense, but it came across as a little intense.
B: Got it. I definitely didn’t mean to do that.
A: I know. I don’t mean anything by this, but maybe just pause a bit more next time.
B: Yeah, that’s fair. Thanks for telling me.
A: Of course. Thanks for being so receptive.
Part 9 — Don’t overdo it
In a regular conversation, you probably would not use all three of these expressions because then you’re piling on.
You would probably use one, correct something, and then let it go.
No matter how much softening language you add, it’s still criticism. It’s still a correction.
So we want to be careful about how much we do that or the other person may start to feel attacked or embarrassed.

Language Challenge

- Your presentation was confusing.
- Your message sounded rude.
- You interrupted Sarah several times.
- You need to be more organized.
- I wish you’d told me earlier.
- That comment was too intense.
Challenge: Don’t use the same softening phrase twice.
Meaning & Nuance Challenge

- What is the difference between softening your message and weakening your message?
- Why do the speakers say that sometimes you need to be blunt?
- What does “You’re not backing off from what you said” suggest?

- A physical hit that is made less forceful; metaphorically, making harsh information feel less direct.
- It can itself sound harsh or signal that something offensive is coming.
- “You seemed a little angry when you were talking earlier” and the example about a joke that didn’t really land.
- “Please don’t take this the wrong way, but…”
- Interrupting Sarah and coming across as intense.
- Repeated criticism can feel like piling on, even if every comment is introduced politely.
Speaking Practice
- Your friend dominated a group conversation and interrupted people.
- Your coworker sent you a message that sounded unnecessarily serious.
- A classmate gave a presentation that was difficult to follow.
- Your friend made a joke that made the group uncomfortable.
- Someone changed an important plan without telling you.
Sample Answer
Please don’t take this the wrong way, but I think you cut a few people off during the conversation. I know you were excited about the topic, and I’m sure you didn’t mean to come across as rude. Maybe just pause a little more next time and give people a chance to finish what they’re saying.
Make It Sound More Natural
- You are rude.
- Your idea won’t work.
- You talk too much.
- Your email was aggressive.
- You shouldn’t have done that.
Shadowing Practice
I hope that they didn’t take that the wrong way.
Is there a phrase I can say before something that might be taken as harsh or blunt to soften the blow?
Please don’t take this the wrong way, but I think you could be more organized.
For the record, I’m not upset, but that caught me off guard.
I definitely didn’t mean to do that.
Thanks for being so receptive.
Final Challenge
take this the wrong way · come across as · cut someone off · catch someone off guard · soften the blow · receptive · take offense · blunt
No offense
Am I being clear, or am I being unnecessarily harsh?
